We are committed to protecting and respecting your privacy.  This Privacy Statement (together with the terms of use of our website (Site) and any other documents referred to on it) sets out the basis on which any personal data (Data) that we collect from you, or that you provide to us, will be processed by us.

By using our website, you accept the practices described in this Privacy Statement. Our Site may, from time to time, contain links to other websites.  If you follow a link to any of those websites, please note that those websites have their own privacy statement and that we do not accept any responsibility or liability for those statements. Please check those statements before you submit any personal Data to those websites.

INFORMATION WE MAY COLLECT FROM YOU

We may collect and process the following information about you:

  • your name;
  • your email address;
  • the time and date of your visit;
  • information that you provide by filling in forms on our Site.  This includes information provided at the time of registering for membership of the Society of Actuaries in Ireland;
  • we may also ask you for information if you report a problem with our site;
  • if you contact us, we may keep a record of that correspondence; and
  • details of your visits to our site including, but not limited to, traffic data, location data, weblogs and other communication data, and the resources that you access.

 

IP ADDRESSES AND COOKIES

When you access our Site, your computer’s browser provides us with information such as your IP address, browser type, access time and referring URL, which is collected and used to compile statistical data on the use of our Site.  This information may be used to help us to improve our Site and the services we offer.

The website is built on Drupal which uses cookies to track a logged in user's session, and also to track whether a given user has javascript turned on. 

USES MADE OF YOUR DATA

In any case, where we ask you for personal information, such as your name and address, from which you can be identified on an individual basis, we will only do this where we require that information for specific purposes, for example registration.  In every case, we will let you know what we intend doing with that information before collecting it. We have set out below details of the types of circumstances where we may use your Data that we hold to:

  • ensure that content from our Site is presented in the most effective manner for you and for your computer;
  • provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes (see MARKETING below);
  • carry out our obligations arising from any contracts entered into between you and us;
  • allow you to participate in interactive features of our service, when you choose to do so;
  • notify you about changes to our service.

 

MARKETING

If you have consented to receiving marketing communications, we may use your Data to send you information relating to our services and products which may be of interest to you.  We may also use your Data to send you information relating to services and products from other carefully selected parties. 

If you do not want us to use your Data in this way please do not tick the relevant box situated on the form on which we collect your Data.  If you wish to stop the use of your Data for those purposes at any time please contact us (see CONTACT US below).  If you no longer wish to receive these communications you will have the opportunity to unsubscribe on each occasion or by contacting us directly.

 

DISCLOSURE OF YOUR DATA

You acknowledge and agree that in certain circumstances we may be obliged to disclose personal information relating to you to third parties, for example, in order to conform to any requirements of law or to comply with any legal process, as well as to protect and defend the rights of property of the Society and/or our members or business contacts.

If you are a member and have consented to us processing data for the purpose of administration in providing member services and communicating with the membership of SAI Committees, communicating to members on SAI member services and on relevant legal and regulatory matters, we may disclose your Data to the  International Actuarial Association and to the Actuarial Association of Europe. We may disclose Data relating to holders of Practising Certificates issued by us to the Central Bank of Ireland and the Pensions Authority.

We may disclose your Data to third parties if we are under a duty to disclose or share your Data in order to comply with any legal obligation, or in order to enforce or apply our terms of use  and other agreements, or to protect the rights, property, or safety of the Society of Actuaries in Ireland, our members and customers, or others and in the legitimate interest of our business.  This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction

 

SECURITY OF YOUR DATA

We are committed to protecting the security of your Data.  We use a variety of security technologies and procedures to help protect your Data from unauthorised access and use.  As effective as modern security practices are, no physical or electronic security system is entirely secure. However, we will endeavour to ensure that your privacy is safeguarded at every level of our organisation.  We cannot guarantee the complete security of our database, nor can we guarantee that information you supply will not be intercepted while being transmitted to us over the Internet.  Where we have given you (or where you have chosen) a password which enables you to access certain parts of our Site, you are responsible for keeping that password confidential. We ask you not to share your password with anyone.

The transmission of information via the internet is not completely secure.  Although we will do our best to protect your Data, we cannot guarantee the security of your Data transmitted to our Site.  Any transmission of Data is at your own risk.  Once we receive your Data, we use appropriate security measures to seek to prevent unauthorised access.

 

WHERE WE STORE YOUR DATA

Your Data may be stored and transferred within the European Economic Area (EEA) or transferred to, and stored in, countries outside the EEA.  Those countries may not provide an adequate level of protection in relation to processing your Data.  Your Data may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff may be engaged in activities that include the processing of your registration details and the provision of support services.  By submitting your personal data, you agree to this transfer, storing and processing.  We will take all steps reasonably necessary to ensure that your Data is treated securely and in accordance with this Privacy Statement.

 

DATA SUBJECT RIGHTS

You may request in writing copies of your Data held by us as data controller.  We will provide you with a copy of the Data held by us as soon as practicable and in any event not more than 30 days after the request in writing.  There is no charge to access your Data unless we believe that request is manifestly unfounded or excessive and particularly if it is repetitive, in this instance we may apply a reasonable fee.  We may also request proof of identification to verify your access request.  All requests should be addressed to our Data Protection Compliance Officer by email at info@actuaries.ie.

You have the right to lodge a complaint with the Data Protection Commissioner if you are unhappy with how we are processing your Data.

RECTIFICATION AND ERASURE OF YOUR DATA

We endeavour to keep your Data accurate, complete and up to date. If your Data that we hold is inaccurate, please let us know and we will make the necessary amendments, erase or block the relevant Data as you request and notify you within 30 days of your request that the relevant action has been taken.  You may also request the erasure of your data if you believe we are otherwise in breach of section 2(1) of the Acts. All requests should be submitted by email to info@actuaries.ie. There is no charge for making such a request.

We will hold on to your personal Data only for as long as necessary for the purposes of providing access to our Site and related services to you or as required by law.

CHANGES TO OUR PRIVACY STATEMENT

We will retain Data for the period necessary to fulfill the purposes outlined in this Privacy Statement unless a longer retention period is required or permitted by law.  Please note that we have a variety of obligations to retain the Data that you provide to us, including your name, employer details, contact details, date of birther, gender, qualifications and practice area(s).

Accordingly, even if you cease to be a member, we may retain certain Data to continue to meet our obligations. 

 

CHANGES TO OUR PRIVACY STATEMENT

We reserve the right to change this Privacy Statement from time to time at our sole discretion.  If we make any changes, we will post those changes here so that you can see what information we gather, how we might use that information and in what circumstances we may disclose it.  Each time you use this website the then current Privacy Statement will apply and you should review it each time you use the website to satisfy yourself that you are happy with it.  By continuing to use our Site after we post any such changes, you accept and agree to this Privacy Statement as modified.
